Finance & Administration Officer

  • Contract type: 12 months with possibility for extension. 
  • Working Hours: 32 hours per week (4-day working week).
  • Location: Amsterdam/The Netherlands (this is a hybrid position based in the Netherlands, with travel required to and from our office in Amsterdam two days a week).
  • Start date: early to mid-July 2025.

About the Role

The Finance & Administration Officer will be part of the Operations Department and will report to the Executive Director (Interim). We are looking for someone to take our finances to the next level, and who will ensure that the Management Team receives frequent input on the financial situation of the organization and that we comply with the agreements and reporting schedules of our donors. This is a hybrid position: we are looking for someone based in the Netherlands who can commute to our office in Amsterdam when needed, ideally two days a week.

Job Duties and Responsibilities

Financial management

  • Managing accounts payable (and on occasions, receivable), ensuring timely and accurate processing of invoices and payments.
  • Entering financial data into the accounting software (Visma) and posting financial transactions as per donor accounting.
  • Creating monthly and quarterly internal reports for cost monitoring, such as budgeted vs. actual reports, cashflows and financial forecasts.
  • Ensuring adherence to financial and procurement policies, both internally and for donor compliance.
  • Preparing donor-specific financial reports in coordination with the Programmes Department, ensuring they meet agreed reporting requirements.
  • Informing the Management Team regarding the financial state of the organization through clear, timely updates.
  • Facilitating the annual audit process by providing necessary calculations and documentation, including time writing, governance matters and general RJ560 compliance.
  • Preparing the annual accounts.
  • Supporting payroll and wage tax calculations, ensuring compliance with relevant regulations and accurate reporting.

 

Administration

  • Provide comprehensive administrative support throughout the organization.
  • Manage scheduling of online meetings with our members and external stakeholders and support virtual/in-person events.
  • Facilitate logistics for internal and external gatherings and official visits.
  • Support procurement processes when necessary.
  • Offer direct assistance to the Management Team as required.
  • Oversee office inventory and supplies.
  • Ensure all administrative systems, processes, and policies comply with donor requirements and local regulations.
  • Occasional report writing.

 

Any other tasks related to finance and administration and assigned by the line management.

Who We're Looking For

You must live in the Netherlands and have a valid work permit (non-negotiable). Proof will be requested. 

Required:

  • Education in Accounting, Financial Administration. 
  • Proven work experience in similar finance role.
  • Proficiency in financial software and MS Office (especially Excel);
  • Excellent communication skills, both oral and written;
  • Good knowledge of accounting principles and best practices;
  • High degree of accuracy and attention to detail;
  • Strong organizational and time management skills;
  • Ability to work remotely, independently and as part of a team.
  • Excellent verbal and written skills in English.

 

Desired:

  • Knowledge of Dutch language to at least B2 level.
  • Experience with project financing (especially EC funding).
  • Experience with Payroll processes and wage tax filing.
  • Working knowledge of Visma and Loon software is a strong plus.
  • Familiarity with MS Outlook, Teams and Zoom.
